Job Purpose
As an integral member of the College Student Experience Team (SET), the post holder will provide an efficient administrative service to support the Team’s activities. SET provision supports the student journey, from induction and retention, through to academic and employability skills development. The role will involve supporting the administration of courses offered by the team around student learning, skills and transitions as well as the wider activities of the Team. Achievement of these objectives will enhance the experiences of students and staff and have positive, scalable impact on College/University KPIs, including student satisfaction, retention and success. The role will report to the Head of Student Experience and will play a key role in enhancing the student experience and ensuring student success in line with the College and University’s strategic direction. Success will require effective collaboration across organisational and professional boundaries, working with academics, professional services staff and students.
Main Duties and Responsibilities
1. Deliver an efficient and effective administrative service including organisational arrangements for meetings and teaching; organisation of events; preparation of documents and presentations; management of information and files, etc
2. Deliver administrative support for the SET suite of courses for students, including both asynchronous activities delivered via the University’s VLE (Moodle) and synchronous (live) classes.
3. Provide first-contact resolution for student and staff enquiries relating to SET activities, using knowledge and judgement and with minimal supervision.
4. Manage communications around SET activities e.g. maintaining SET webpages and ensuring promotional information is disseminated effectively to students and staff.
5. Use standard software packages including Microsoft Office to gather, manipulate and analyse/interpret data relating to SET activities and prepare resources that inform the operational decision-making of the Team.
6. Take a lead role in the continuous improvement of administrative functions through identifying and supporting the implementation of process improvements to enhance the student and staff experience.
7. Flexibly support the range of SET activities as requested by the College Head of Student Experience and SET Leads in student learning, skills and transitions.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential
A1 SCQF level 7 (Advanced Higher/ SVQ level 3, HNC) or equivalent or experience of personal development in a similar role.
Desirable
B1 An understanding of issues relating to student learning, skills development and transitions within UK higher education.
B2 Evidence of personal commitment to continuous professional development.
B3 A knowledge of the functionalities of Virtual Learning Environments [VLE], including Moodle, and other relevant online learning platforms.
Skills
Essential
C1 Excellent organisational and planning skills with a proven ability to effectively prioritise workload.
C2 Ability to work accurately and efficiently to specific deadlines with the ability to manage competing demands.
C3 Excellent written and verbal communication and interpersonal skills, demonstrating tact, sensitivity, professionalism and the ability to maintain confidentiality.
C4 Strong skills in the use of Microsoft Office applications - Word, Excel, OneDrive, Teams etc.
C5 Ability to work proactively both individually and as part of a team as well as demonstrate a high level of initiative.
C6 Demonstrable problem-solving skills.
Experience
Essential
E1 Proven and substantial experience of delivering an effective and efficient administrative service.
E2 Experience of working in a student- or customer-facing role.
E3 Experience of managing complex information and datasets, analysing data, extracting reports and resolving related problems.
Desirable
F1 Experience of maintaining student- or customer facing communications e.g. webpage content or promotional activity.
F2 Experience of providing administrative support in a Higher Education context.
F3 Experience of improving administrative processes.
Standard Terms and Conditions
Salary will be on the Management, Professional and Administrative Grade, level 5, £22,417 - £26,715 per annum.
This post is full time (35 hours per week) and is offered on an open ended basis.
New entrants to the University will be required to serve a probationary period of 6 months.
The successful candidate will be eligible to join the National Employment Savings Trust (NEST) Pension Scheme.
